iRun Fitness Society (“iRun”, “Society”, “us”, “we” or “our”)

Participant (members, visitors, guests, and participants)

 

INTRODUCTION

 

iRun Fitness Society is a private society that focuses mainly on running activities. It is managed and maintained by the committee members and volunteers who donated their own time and energy into keeping it going. In legal terms, the Society has been incorporated as a non-profit society in British Columbia in 2019.  

 

This document outlines the terms, conditions, and rules of membership for the iRun Fitness Society. To join the Society or participate in any events organized by the Society, you are deemed to and are abide by the rules of membership and have accepted these terms and conditions.  

 

The Society reserves the right to change these terms and conditions at any time without prior notice. In any event that any changes are made, the revised terms and conditions shall be posted on the Society website. Please check the latest information to inform yourself of any changes.

 

CODE OF CONDUCT

 

By being part of the Society, you agree to reasonable behavior towards our venues, our volunteers, and other members of the Society. Any behavior deemed inappropriate, offensive, or which undermines the club’s volunteers or activities will put your participation in the Society at risk. This conduct covers both online and offline behavior. As an unincorporated association, we reserve the right to remove members who are disrespectful or otherwise disruptive and they will not be welcome at future sessions. We also reserve the right to refuse membership of the Society to any person for any reason in our absolute discretion.

 

Please also do not use the Society network to sell or promote your own individual causes. We have a large social media audience (Facebook, Instagram, WeChat and etc.) and to keep the content engaging and relevant to our Society we reserve the right to take posts down and block members from social media if necessary. We also reserve the right to occasionally do a clear out of our huge membership list by removing members who haven’t attended or participated in the Society for a long time. This keeps our audience relevant to our Society. If you have not been with us for a while but are removed from the group and want to be reinstated please email us.

 

This Society exists to get people into running and keep them running! Our unrivaled success over the last 8 years (includes the period prior to incorporation) is due to our ethos and the amazing atmosphere at our sessions. Please respect that it takes a lot of work behind the scenes and for it to continue we need to set some rules so it continues to be a great atmosphere for ourselves, our volunteers, and for you our members.

 

MEMBERSHIP

 

We reserve absolute discretion when approving and considering membership applications whether for new members, corporate or renewal and reserve the right to refuse any application without giving any reason.

 

The membership period from Jan 01 to Dec 31 and it shall be renewed each calendar year.  The membership fee shall be determined and announced by the Society’s committee members. The membership fee is due no later than the 15th day of January of each calendar year.  The membership fee is not prorated or refundable once paid. Please see our committee members for details on payment procedures.

 

PHOTOGRAPHS

 

Photographs may be taken by the Society for publicity reasons at our sessions and the resulting images may be published on our social media, website, or made the subject or intellectual rights by us. By running with us you agree you may appear in these photographs and agree to this use. Let us know in advance if you do not wish to be photographed.

 

MUSIC PLAYERS

 

We recommend runners don’t use personal music devices while running with us. This is so you are aware of your surroundings and can hear instructions. Please also show consideration of other road and pavement users during your runs.

 

AGE & LIABILITY

 

The minimum age to become a member must be 18 or older.  Any participant who is younger than 18 must be accompanied by a participant who is at least 18 or older.

 

By taking part in a run with iRun you do so at your own risk and the Society is not liable for any injury, loss, death or damage resulting from you taking part.

 

It is your responsibility to ensure that you are medically fit to run. You must acknowledge that any form of running can be hazardous and strenuous, and you shouldn’t take part unless capable of completing the full distance. Please take medical advice before booking if necessary and consider whether you need medical insurance to run. We reserve the right to stop you from taking part if deemed unfit before running with us. If medical treatment is necessary during the run this should be sought from UK emergency services.

 

You are ultimately responsible for any belongings you leave in our venue during your run. We will endeavor to keep an eye on these belongings but please do not leave anything valuable and understand that we are not liable for any losses.


 

PRIVACY

 

iRun is committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership, the Society will not share the data it holds with other parties or uses the data for any event that is not related to iRun.

 

WHAT PERSONAL DATA WE HOLD ON YOU

 

You may give us information about you by filling in forms at an event or online, or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you register with the Society. The information you give us may include your name, e-mail, address and etc. We may also ask for relevant health information and in case of emergency contact data which is classed as special category personal data.

 

WHY WE NEED YOUR PERSONAL DATA

 

The reason we need your Data is to be able to administer your membership and provide the membership services you are signing up to when you register with the Society. Our lawful basis for processing your personal is that we have a contractual obligation to you as a member to provide the services you are registering for. 

 

Reasons we need to process your data include:

 

  1. FOR FUNDING AND REPORTING PURPOSES

  • analyzing anonymized data to monitor club trends; and

  • sending a survey to improve your experience as a member, when required

  1. FOR MEMBERSHIP AND CLUB MANAGEMENT

  • sharing data about club activities or invitation to social events;

 

Any special category health data we hold on you is only processed for the purpose of passing health data to coaches to allow the safe running of training sessions. We process this data on the lawful basis of consent. Therefore, we will also need your explicit consent to process this data, which we will ask for at the point of collecting it.

 

The Society has the following social media pages: Facebook, Instagram, and WeChat. All members are free to join these pages. If you join one of the Social Media pages, please note that provider of the social media platform(s) have their own privacy policies and that the Society does not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data on the club's social media pages.


YOUR RIGHTS REGARDING YOUR PERSONAL DATA

 

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing.

 

As a data subject, you are not obliged to share your personal data with the Club. If you choose not to share your personal data with us we may not be able to register or administer your membership.
